Equipment Rental Terms & Conditions

BOOKING

  1. Equipment rental bookings can only be made via the equipment rental form upon the Dockside Studio Website.

  2. Making an enquiry either by telephone, email or in person, does not constitute a booking. An Order is deemed to have been placed when you receive a Rental Confirmation email from Dockside Studio.

  3. By placing an order you confirm that you are over 18 years old and have read and understood these terms and conditions and agree to be bound by them and to comply with all applicable laws, rules, and regulations.

  4. Dockside Studio reserves the right to refuse the acceptance of any Order without assigning any reason for such refusal.

EQUIPMENT

  1. Whilst Dockside Studio shall make every effort to assist the Hirer with technical knowhow and experience and shall provide general advice and service, Dockside Studio shall not guarantee the Hirer will achieve the intended result by the use of hired Equipment and other facilities.

  2. It shall be the responsibility of the Hirer to ensure the Equipment is fully suitable in all respects (including type and function) for the purpose for which it is hired. In no circumstances shall Dockside Studio be liable for any loss or damage of whatever kind however caused arising out of or in connection with the use of or inability to use the Equipment. 

  3. The Hirer shall not remove any labels from and/or interfere with the Equipment or make any permanent modifications to it.

  4. The Hirer must not repair or attempt to repair or request a third party to repair or attempt to repair the Equipment or carry out firmware/software updates without the prior written permission of Dockside Studio.

  5. The Hirer shall ensure all hired Equipment is used only for the purposes for which it is designed and operated in a proper manner. The Hirer shall, and will ensure its personnel shall, at all times comply with all health and safety policies and other regulations governing any use of the Equipment or the Hirer’s activities.

  6. It is a condition of hire the Hirer declares the purpose of hiring the Equipment and where it will be used. The Company reserves the right to decline a request to hire if it is not satisfied with the declared purpose of the hire. It is therefore more likely for the Hirer to be able to hire if as much detail as possible regarding the Equipment’s use is provided.

  7. The Hirer shall take adequate and proper measures to protect the Equipment from theft, damage, and other risks and will not expose the Equipment to the elements (in particular to salt water and spray, sand, and grit) and will keep the Equipment protected in all respects at all times.

  8. The Hirer shall not permit the Equipment to be used on any abnormal or hazardous assignment, taken out of the United Kingdom, or taken from the ground other than on a regular scheduled flight by an airline recognised by I.A.T.A. Without the prior written consent of Dockside Studio.

PAYMENT

  1. The Hirer will be required to make payment at the time of placing an Order for the Equipment.

  2. Once an order confirmation is place via theDockside Studio Website, the hirer will be asked to confirm the order that they wish to proceed with the order. Upon his confirmation payment will then be taken over the phone.

  3. Payment can only be made in advance prior to the collection of equipment ordered. No payment can be accepted at point of collection.

  4. If the order is within 7 days of the rental date then full payment will be taken over the phone following the Hirers order, payment will include the Rental Fee, Security Deposit and any Damage Waiver (if selected at point of order).

  5. If the order is placed more the 7 days before the rental date, then only the Rental Fee and Damage Waiver (if selected at point of order) will be taken. The Security Deposit payment will be taken within 7 days prior to collection.

RENTAL RISK AND DAMAGE WAIVER

  1. An optional Damage Waiver is added to cover damage to the Equipment and is above any Deposit amount the Hirer has already paid. This is a non-refundable premium for this service, the premium is calculated on the Equipment selected and length of hire at a rate of 10% of the total rental rate.

  2. The Damage Waiver may not be applied to the rental fee if the Hirer can provide evidence of a personal indemnity insurance policy to cover rental equipment.

  3. The damage waiver does not cover any loss, theft, or negligence for which the Hirer will be liable for the full replacement value including VAT (as new) of the Equipment.

SECURITY DEPOSIT

  1. The Hirer will be required to pay a security Deposit before Dockside Studio will dispatch any Equipment. The amount of Deposit required varies dependent on Equipment selected.

  2. The Deposit will be secured at the time of booking. In the event of the funds not being paid and Dockside Studio not being able to contact the Hirer, the reservation will be cancelled.

  3. The amount of the Deposit specified in the hire contract shall be returned to the Hirer without interest when the Equipment has been returned to Dockside Studio and all charges and other monies due to Dockside Studio have been paid including deductions for stolen, lost, or damaged Equipment.

  4. The Deposit is a Deposit against default by the Hirer. Dockside Studio shall be entitled to apply the Deposit against any fees, damage, or loss to the Equipment.

  5. Please note whilst the Deposit is refunded promptly, it can take between 1-5 working days to appear on a statement, depending on the Hirer’s bank.

CANCELLATION AND RESCHEDULING

  1. Any request by the Customer for cancellation of any order or for re-scheduling will only be considered by Dockside Studio if made at least 48 hours before the arranged collection time of equipment. This shall be subject to acceptance by Dockside Studio. Dockside Studio reserves the right to levy a reasonable administration charge for cancelled orders.

  2. All cancellations of orders must be confirmed in writing (post, fax or e-mail). You may cancel your order by: e-mailing us at neville@docksidestudio.co.uk stating your name, a description of the goods and the date of the cancelled order, or phoning on 01634 400164 (Monday to Friday from 9am to 5pm excluding public holidays) - please have your order details to hand.

  3. If the Hirer wishes to extend the Hire Period Dockside Studio shall use reasonable endeavours to accommodate such extension but, the Hirer acknowledges this may not be possible or be subject to additional fees or other conditions.

  4. Where the Equipment, for reasons outside Dockside Studios control, ceases to be available for the duration of the hire period, the Dockside Studio shall inform the Hirer as soon as is practically possible. In such an event, Dockside Studio will endeavour to provide suitable replacement Equipment. Where such Equipment is not available to fulfil all or part of that Order, the Hirer can cancel all or part of the Order and receive a full or part refund as applicable or re-schedule all or part of the Order at no extra charge.

  5. If the Hirer wishes to return the Equipment early this can be arranged, Dockside Studio will at the soonest available time accommodate request for return of the rented equipment. we cannot offer a refund of the remaining hire period.

COLLECTING EQUIPMENT

  1. The Equipment will be available for collection from the premises of Dockside Studio, on the time specified and on the date specified in the Order Confirmation and during Dockside Studios normal business hours. Please note, the Hirer will be required to present a valid Photo ID (passport or driving license) and proof of address (utility or council bill not older the 3 months) before the equipment will be released.

  2. No provision for delivery of equipment is provided, all equipment booked for rental must be collected from Dockside Studio.

  3. If the Hirer does not collect the Equipment from the location of Dockside Studio on the date specified, then Dockside Studio shall continue to make the Equipment available for collection during normal business hours on each business day until the end of the Hire Period. No adjustment to the Hire Period or the Hire Charges shall be occasioned by such late collection or non-collection.

  4. All Equipment shall, immediately upon leaving Dockside Studio premises and thereafter, be the responsibility of and at the risk of the Hirer, though for the avoidance of doubt, property of the Equipment shall remain at all times with the Dockside Studio notwithstanding that the Hirer shall be liable for any theft, loss, damage, or destruction howsoever caused to the Equipment.

  5. It is the Hirers responsibility at all times to ensure all the correct information for collection is provided to the Dockside Studio and Dockside Studio accepts no responsibility for collections made according to the Hirers instructions.

  6. Equipment can only be arranged and collected between 9am & 5pm Monday to Sunday.

RETURNING EQUIPMENT

  1. The Equipment must be retuned to the premises of Dockside Studio at the time stated in the booking confirmation.

  2. Equipment may be returned to Dockside Studio earlier that the stated return time upon request. The Hirer must inform Dockside Studio of the earlier time they wish to return the equipment. Acceptance of an earlier return time is purely at the discretion of Dockside Studio.

  3. Where the Equipment is not returned to Dockside Studio immediately following the end of the Hire Period and the Hirer has failed to either contact Dockside Studio and explained the circumstances or negotiate an extension to the agreed Hire Period (and Dockside Studio has provided written confirmation of said extension). Dockside Studio will investigate and may inform the Police and report the Equipment as stolen and, will take steps to recover the Equipment. All monies owed will become immediately due and taken automatically from the Deposit or invoiced.

  4. Equipment can only be returned between 9am & 5pm Monday to Sunday.

  5. Any Late returns of equipment will result in additional days of rental accordingly.
